MIO’s Middle Office group is seeking a Team Assistant to provide C-level administrative support to the firm’s Chief Risk & Operating Officer, Global Head of Risk, and additional senior professionals. Team Assistants provide daily coverage from 9 AM-6 PM, Monday-Friday, with flexibility to earn overtime depending on the workload. This is initially a full-time, virtual work-from-home opportunity as MIO’s office reopening is to be determined. Our offices are based in Midtown, New York.

Primary Responsibilities

• Act as a trusted partner and gatekeeper to organize current needs in a timely and professional manner and handle sensitive business communications with the utmost confidentiality
• Provide high-level calendar and time management, take complete ownership to manage and prioritize incoming scheduling requests from internal and external parties, proactively communicate meeting changes to participants, anticipate and respond to scheduling conflicts, make judgments and recommendations to ensure smooth day-to-day engagements
• Interact with internal and external clients to ensure a professional and responsive support experience
• Develop relationships with the entire Middle Office team, act as the team’s point person and a liaison between all departments
• Coordinate travel arrangements (e.g., flights, transportation, lodging, restaurant reservations)
• Prepare, reconcile, and submit timesheets and expense reimbursements; upon receiving formal training, serve as system administrator for Middle Office team and their use of MIO’s timesheet tool
• Assist with preparation and editing of PowerPoint presentations, Word, and Excel documents
• Upon return to the office, provide phone coverage and collaborate with Office Services to prepare visitor logs and conference rooms ahead of meetings; disseminate meeting materials as needed
• Assist team in coordinating events and catering (e.g. community-building events such as internal happy hours, external parties, annual social outings, and off-sites, etc.)
• Provide back-up support in the event team assistant members are out of the office

Desired Background

• Bachelor’s degree required
• 5-10 years of experience providing high-level administrative support to executives is required
• Experience in an investment bank, hedge fund, private equity firm, or other asset manager is strongly preferred
• Strong written and verbal communication skills and solid planning abilities
• Excellent problem-solving skills, strong attention to detail, and the ability to work independently
• Highly organized, self-motivated, and accustomed to multitasking in a readily changing environment while being sensitive to time constraints and resource availability
• Collaborative and team-oriented with the capacity to forge formidable business relationships at various levels of the organization
• Must be positive, tenacious, proactive, resourceful, entrepreneurial, and self-directed
• Ability to learn, absorb, and apply new information and skills, especially technical skills
• Demonstrate critical thinking and practice sound judgment
• High proficiency in typing, data entry, Outlook, Word, Excel, PowerPoint, Teams, and Zoom
• Experience organizing meetings and office events are necessary
