Position

MIO’s Legal & Compliance group is seeking a Team Assistant to provide administrative support to 7 lawyers and 2 paralegals. Team Assistants provide daily coverage from 9 AM-6 PM at a minimum, with the ability to start earlier or end later if requested. This position is based in New York.

Primary Responsibilities

Support to Senior Team Members

  • Calendar management
  • Organize travel arrangements (e.g., flights, transportation, lodging, restaurant reservations)
  • Prepare and submit time entries and expense reimbursements
  • Plan weekly team meeting and manage lunch order
  • Assist with preparation and editing of PowerPoint presentations, Word, and Excel documents
  • Provide phone coverage

Legal & Compliance Team

  • Assist lawyers and paralegals with data management of legal documents and agreements, including filing, maintaining and updating databases and repositories of documents and corporate records
  • Assist with ad hoc projects pertaining to data entry or compiling information
  • Print and obtain signatures on a variety of documents (certification as a notary is a plus)
  • Sort and distribute mail

Meeting Support

  • Assist team members with meeting planning (e.g., schedule meetings, reserve conference rooms, handle catering requests, enter visitors in security system, etc.)
  • Prepare and maintain conference rooms (e.g., set up conference calls and video conferences, arrange other A/V equipment, work with office services to configure rooms, stock supplies, etc.)
  • Maintain multiple databases and calendars (e.g., room reservations database, daily security access list, etc.)

Other

  • Timesheet Software Support: serve as system administrator for the Legal & Compliance Team and their use of MIO’s timesheet tool (e.g., update users and user activities, generate and distribute monthly timesheet compliance reports, etc.)
  • Events: assist team in coordinating events (e.g., compliance training, community-building events, such as internal happy hours, external parties, annual social outings, and off-sites, etc.)
  • Back-Up Support: in the event team assistant members are out of the office, provide back-up support to other functions

Desired Background

  • Bachelor’s degree required
  • 2-5 years of administrative assistant experience at a law firm or in-house legal & compliance department of a financial institution, an asset management firm, or other corporate legal & compliance group is strongly preferred
  • Basic understanding of legal documentation, with experience in data management a plus
  • High proficiency in typing, data entry, Outlook, Word, Excel, and PowerPoint
  • Experience organizing meetings and office events is necessary
  • Excellent organizational skills, high level of attention to detail, ability to juggle multiple tasks
  • Strong interpersonal skills, including motivation to be a team player
  • Excellent communication skills, both written and oral
  • Ability to learn, absorb, and apply new information and skills, especially technical skills
  • Must be positive, proactive, resourceful, entrepreneurial, and self-directed
